What Are Terms?
Terms is a feature of AI Knowledge Base that lets you define the exact words or phrases your team should (or shouldn’t) use. Think of it as your go-to list for:

Approved wording

Flagged or banned phrases

Subtle preferences like using platform instead of tool
Terms works alongside Brand Voice and Reference Docs to help your AI (and your team) stay aligned with your brand’s language and tone.
How To Add Terms
To start building your list of brand-specific language:

In the left sidebar, click into the AI Knowledge Base tab

Click the Terms tab at the top.

Click Add Term.

Enter the word or phrase you want to define.

Choose a rule:

Approved – Use this wording.
-
Don’t use – Avoid this wording.

Use carefully – Allowed, but with limitations.

Pending – For non-admin users; requires admin approval.

- (Important) Add tags to organize and group terms by type, project, client, etc
-
(Optional) Add a description or usage examples.
Why bother tagging terms? Tags are how you activate this governance feature in your document. If you want all your terms to impact all documents you create, tag all terms with the same tag name. If you need term governance in specific situations, group terms into different tags.
How To Use Terms
Once your Terms are defined, Frase does the heavy lifting to enforce them. Every time you create or edit content, Frase checks your work against the terms you selected for your project.
To check for improper term usage:
- Click the Governance module in the upper right of your document (to the right of your title)
- Select the gear icon & choose which term tags you'd like to use
To review and resolve flagged content:

Create or open a document.

In the upper right corner, click the Governance button.

Review any flagged words.

Update your content based on suggestions to stay on-brand.
Variations and Smart Matching
The Terms system is built to be flexible—but precise:

Plural forms are automatically detected (e.g., if you add utilize, it also flags utilizes).

Case matching is ignored unless you enable case sensitivity.

You can manually add variations like utilizing or utilization for fuller coverage.
-
Partial word matching is off by default—so use won’t match user.
